Approve Job posting & funding for position. Michael Keller must approve and sign Request to Post Job form. Deliver form to Sheilaugh.

Draft job description & qualifications. If this is a new or re-configured position, the Position Summary Form is required.

Hiring Supervisor

Complete Request to Post Job form and obtain Director's approval.

Hiring Supervisor

Send Request to Post Job form & electronic versions of description & qualifications to Sheilaugh.

Hiring Supervisor

Review classification of job & description & qualifications.

Catalina/Gary/Sheilaugh

If applicable, decide where job will be advertised outside of Stanford.

Receive/log in resumes/applications[1] using Candidate Disposition Data in Trovix

Send offer letter, acceptance letter, & appropriate hire packet to candidate.

After Candidate Accepts

 

Send original of acceptance letter to Sheilaugh.

Have candidate return all hire forms to Sheilaugh.

Hiring Supervisor

Notify all candidates not chosen (both interviewed and not interviewed) using Sample Candidate Notification Letter. Office of staff employment, however, will send a generice-mail to those you didn't interview. If you wish to use this service, send Sheilaugh an e-mail w/ req # of job and names of all those who should not get the e-mail (e., those you interviewed and the 1 you hired).

Send all remaining paperwork to do w/ the hire (reference check notes, etc.) to Sheilaugh.

Place new hire on payroll.

Sponsor SUNetID at base level and send instructions on how to enroll in New Employee Orientation.

Request e-mail account by asking Expert Partner to send a HelpSU ticket with:
New employee name
SUNet ID
Department name

Pick-up ID card (George Forsythe Hall,
275 Panama Street, room 190, 8-2273) on or after start date.

[1] Every applicant must apply through Trovix by clicking on the Apply Now button on the specific posting on the Stanford Jobs website. If you should receive any resumes that did not go through Trovix, please tell those people they must apply using the above process.

[2] This e-mail approval will contain the salary to offer your candidate, the level the candidate will start on, the offer letter template to use, & the URL of the HR website where templates of the offer letters are found.

[3] There are 3 types of hiring packets: New Hire (for those who come from outside SU), Transfer: SU Staff to SUL or SUL staff to SUL staff, & Temp/Stu/Cas to SUL Staff.
