Voice Messaging for Faculty/Staff

New Stanford Voice Messaging System Provided to University in May, Hospital Community at End of Summer

Stanford's production voicemail system, in place since 1986, has reached its end of life; vendor support will end in 2011. The Stanford Voice Messaging system will replace the current system.

In May, all University voice mailboxes will be transitioned to the new system. Stanford Hospital mailboxes (those accessed via 723-1111) will be moved later in the summer. (Learn moreHide)

Initially, the focus of the project will be on replacement of current features. For phones with Enhanced Call Processing (ECP), outgoing recordings and selection options will be transferred from the old system to the new system. For all other mailboxes, you will need to set up your password, recorded name, and outgoing greeting. You will be able to go into the new system one week before the transition to do this initial setup. After the transition, you will still be able to access your old voicemail for about a month.

The new Stanford Voice Messaging system significantly increases message capacity, from 25 on the legacy system to 100 messages, while at the same time expanding voicemail functionality—all at no additional cost to the subscriber. New features immediately available to the University (and later to the Hospital community) allow you to:

  • Review your voicemail messages either via phone or email account
  • Receive a fax in your voicemail and print it at your convenience from a specified fax machine
  • Receive and forward a fax to your email box (faxes are sent in the .tiff file format)
  • From your phone, set start and stop dates for your extended absence greeting

IT Services plans to offer a web-based portal. Using the portal, you will be able to manage your mailbox via the Web:

  • Set forwarding of voicemail messages to email, allowing you to review/delete messages in any order you choose
  • Manage Find-me/Follow-me, which forwards calls to other numbers, such as your cell phone
  • Establish schedules for paging and individualized call routing
  • Specify paging options
  • Change fax machine and printer destinations
  • Use the portal to listen to your messages and manage your mailbox
  • Recover messages deleted via the portal

Voicemail is used in nearly every environment at Stanford, from enhanced multi-mailbox systems serving large clinics and academic departments to temporary private mailboxes for conference attendees.

Information Technology Services (IT Services) has developed Stanford's voice mail services far beyond message-taking—especially in administrative and clinical environments. The department has designed and now supports more than 200 advanced call processing applications (message/routing trees) that overlay the daily maintenance of a 17,000-mailbox system.
