Create and Manage Shared Shopping Carts in SmartMart Catalog Suppliers

The steps are provided to create and manage shared shopping carts in SmartMart Catalog Suppliers, including creating a new shared group, create a shared cart, and locate and briefly lock a shared cart while making edits to it in SmartMart Catalog Suppliers.

Create New Shared Group

  • A group name and group members must be created before a cart can be shared with group members. 
  • Once established, a group can be used by any member of the group to share a cart with all group members.

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Select SU Internet Procurement
  2. Select SmartMart Catalog Suppliers

  1. Hover over the shopping cart icon from the vertical toolbar on the left, or hold ALT key and select P
  2. Select Admin from the sub-menu
  3. Select Manage Groups for Shared Carts

  1. Select Create New Group
  2. Enter a name for the group (the department name is preferred)

  1. Under User Group Members, select user
  2. Enter their last name and select Search 
  3. Find and select member next to member's name in the action column
  4. Select Search for Another User to search and add each new member
  5. Select Add Selected Users when all members have been added
  6. Select Save

To add or remove members, return to the Manage Groups for Shared Carts as shown above. Highlight the group and select the user to add a new member or delete a member by selecting Remove next to a member's name. 

What Happens Next?
  • The user group is created and a confirmation message is displayed at the top of the screen. The group's name is highlighted in the Shared Carts User Groups window on the left. Members of that group are shown on the right.
  • Any member of the group can share a cart with all group members.

Create Shared Cart

A group name should have been created by one of the group's members. If a group does not yet exist, refer to the Create New Shared Group tab on this page.

As a best practice communicate with the members of your group to establish when the cart will need to be completed and to establish who will create an iProcurement requisition with the shared cart. Establish a timeline so everyone understands when the order will be placed.
 

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Select SU Internet Procurement
  2. Select SmartMart Catalog Suppliers

  1. Add items to a shopping cart
  2. Select View Cart when ready to share the cart 

Currently Unlocked
  1. Click Share my cart with others checkbox If you do not have a Shared Group, create one first. Refer to the Create New Shared Group tab on this page.
  2. Select the group name from the drop-down menu
  3. Click Update to save the shopping cart and view it
Currently Locked

Make the shopping cart available to other members in your group:

  1. Click Update and Unlock

The shared cart will automatically unlock after 15 minutes if no action is taken.

What Happens Next?
  • A notification will be sent to the group members informing them that a shared cart has been created. The group name will be included in the email.
  • If someone has created a shared cart that you want to add items to, refer to the Locate Shared Cart tab on this page.

Locate Shared Cart

You will receive a notification that a shared cart has been sent to the group of which you are a member. You may want to add items to the shared cart. Follow the following directions to locate the shared cart.

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Select SU Internet Procurement
  2. Select SmartMart Catalog Suppliers

  1. Hover over the shopping cart icon from the vertical toolbar on the left, or hold ALT key and select P
  2. Select My Carts and Orders from the sub-menu
  3. Select View Draft Shopping Carts

The Drafts Shared With Me section shows draft carts that have been shared with a group of which you are a member.

  1. Select shopping cart with people icon to make cart your active cart
  2. Select active cart in upper right corner of screen Remember that if you were the creator of the shared cart it will appear under the My Drafts section. The shopping cart with people icon can help locate a shared shopping cart.
What Happens Next?
  • Once a shared cart is made active, it’s possible to add or remove items to the shared cart. 
  • To act on the cart without near simultaneous changes being applied by other group members, you can lock the cart while you work on it. Refer to the Lock Shared Cart tab on this page for further information.

Lock Shared Cart

To avoid a group member adding or removing items to a shared cart, locking the cart is necessary.

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Select SU Internet Procurement
  2. Select SmartMart Catalog Suppliers

  1. Hover over the shopping cart icon from the vertical toolbar on the left, or hold ALT key and select P
  2. Select My Carts and Orders from the sub-menu
  3. Select View Carts
  4. Select the Shared Carts tab under Cart Management section
  5. Select the cart to lock

  • Select Lock to Edit Cart in the shared cart to lock the shopping cart
  • Select Update and Unlock to save updates and unlock the shopping cart
What Happens Next?
  • The shared cart will automatically unlock after 15 minutes if you take no action to unlock it.
  • If you are still working on the cart when the lock expires, the system will provide you with a warning message, including an option to relock the cart.
  • Once you unlock the shared cart, other group members may apply their changes to the shared cart.
