Enroll, Update or Cancel Direct Deposit

Stanford employees and students may choose to have their pay, reimbursements, student refunds or monthly fellowship stipends automatically deposited into their bank account(s) instead of receiving a paper check (default). The Stanford Axess website can be used to securely enroll, update or cancel direct deposit elections at any time.

Note: Access to employee and student bank information is secured in compliance with Administrative Guide Policy 6.1.1: Privacy and Access to Electronic Information.

Enroll in Direct Deposit

  • You need a SUNet ID and password to access the Stanford Axess website.
  • You need your bank routing and account number(s).

Note: The bank routing number is generally the first set of digits on the lower left section of your bank check, starting with 01 through 12 or 21 through 32. Your bank account number is typically the next set of numbers at the bottom of your check after the routing number.

  1. Enter axess.stanford.edu in the browser
  2. Click Log In
  3. As prompted, enter SUNet ID and password

Employees
  1. Select the Employee Center tab
  2. Select View/Edit Direct Deposit in the Pay section
  3. Select Add Account
     
Students
  1. Select Direct Deposit from the Student mega menu at the top of the page
  2. Select Add Account

Single Bank Account
  1. Enter bank Routing Number
  2. Enter bank Account Number

    Do not include dashes, spaces or other special characters when entering your account number.

  3. Re-enter your bank Account Number for validation
  4. For Account Type, select Checking or Savings
  5. For Deposit Type, select Balance of Net Pay
  6. For Amount or Percent, leave it blank
  7. For Deposit Order, enter 999 (default)
  8. Select Submit
Two or More Bank Accounts by Percent

First Bank Account

  1. Enter bank Routing Number
  2. Enter bank Account Number

    Do not include dashes, spaces or other special characters when entering your account number.

  3. Re-enter your bank Account Number for validation
  4. For Account Type, select Checking or Savings
  5. For Deposit Type, select Percent
  6. For Amount or Percent, enter the percentage of the payment you want deposited into the first bank account
  7. For Deposit Order, enter 1 
  8. Select Submit

    A balance row is automatically created in addition to the percentage row.

Second Bank Account

  1. Select Edit to edit the balance row
  2. Enter second bank Routing Number
  3. Enter second bank Account Number
  4. Re-enter your bank Account Number for validation
  5. For Account Type, select Checking or Savings
  6. For Deposit Type, leave it as Balance
  7. For Amount or Percent, leave it blank
  8. For Deposit Order, enter 999 (default)
  9. Select Submit

Additional Bank Accounts

  1. Select Add Account
  2. Enter bank Routing Number
  3. Enter bank Account Number
  4. Re-enter your bank Account Number for validation
  5. For Account Type, select Checking or Savings
  6. For Deposit Type, select Percent
  7. For Amount or Percent, enter the percentage of the payment you want deposited into the first bank account
  8. For Deposit Order, enter the desired deposit order
  9. Select Submit
Two or More Bank Accounts by Amount

First Bank Account

  1. Enter bank Routing Number
  2. Enter bank Account Number

    Do not include dashes, spaces or other special characters when entering your account number.

  3. Re-enter your bank Account Number for validation
  4. For Account Type, select Checking or Savings
  5. For Deposit Type, select Amount
  6. For Amount or Percent, enter the amount of the payment you want deposited into the first bank account
  7. For Deposit Order, enter 1 
  8. Select Submit

    A balance row is automatically created in addition to the percentage row.

Second Bank Account

  1. Select Edit to edit the balance row
  2. Enter second bank Routing Number
  3. Enter second bank Account Number
  4. Re-enter your bank Account Number for validation
  5. For Account Type, select Checking or Savings
  6. For Deposit Type, leave it as Balance
  7. For Amount or Percent, leave it blank
  8. For Deposit Order, enter 999 (default)
  9. Select Submit

Additional Bank Accounts

  1. Select Add Account
  2. Enter bank Routing Number
  3. Enter bank Account Number
  4. Re-enter your bank Account Number for validation
  5. For Account Type, select Checking or Savings
  6. For Deposit Type, select Amount
  7. For Amount or Percent, enter the amount of the payment you want deposited into the first bank account
  8. For Deposit Order, enter the desired deposit order
  9. Select Submit
What Happens Next?

Payroll Deposits

  • Direct deposit enrollments/updates submitted during the days following the end of a pay period may not take effect until the following payday. Check your bank account to confirm receipt of funds on payday.

Student Refund/Stipend/Reimbursement Checks

  • Direct deposit information is updated nightly for information entered by midnight PST. The next refund processed will be deposited directly to your bank account(s), and your new information will take effect the following business day.
  • If you have two or more direct deposit accounts set up, reimbursements will be deposited into the account with the highest percentage allocation (with highest priority if percentage allocations are equal).

Employee Expense Request Reimbursements

  • Future reimbursements will be deposited to your bank account.
  • If you have entered more than one bank account, reimbursements will be deposited into the balance record account or, if there is not a balance record, the account with the highest percentage allocation (with highest priority if percentage allocations are equal).
  • For refunds, there may be a 1 to 2 day delay until the direct deposit process is complete. Be sure to confirm the accuracy of the bank account information you entered in your direct deposit profile in Axess.
  • If you are a student and having issues with obtaining your refund, contact Student Financial Services.

Bank Account Closure

If your bank account is closed or has been changed before your direct deposit, it will be rejected, and Stanford will receive notification of the direct deposit rejection 1 to 3 days after the direct deposit request was sent.

  • For payroll deposits, Stanford will issue a check payment, then notify the payee.
  • For student refund or stipend deposits, Stanford will contact you, request that you edit your direct deposit information and process the deposit again.

To prevent delays, update your direct deposit information as soon as you know you are changing accounts.

Additional Information
  • If you are unable to enroll in direct deposit via Axess, complete the Automatic Deposit Authorization form.
  • If you no longer have Axess privileges, you can still receive a refund via direct deposit if your bank information in Axess was previously set up and has not changed. If your bank information was not in Axess prior to the termination of your privileges, direct deposit is not possible. Please submit a Support Request to request a paper check.

Update Direct Deposit

  1. Select pencil icon to edit direct deposit details
  2. Edit any of the following fields:
    • Account Type
    • Routing Number
    • Account Number
    • Deposit Type 
    • Amount or Percent
    • Deposit Order
  3. Select Submit to save your updates or Cancel to cancel your updates

    If you do not already have an account for the balance of your pay, one is automatically created when you edit an existing account.

What Happens Next?

Payroll Deposits

  1. Select trash can icon to remove direct deposit account
  2. Select Yes - Delete for confirmation
  3. Select Submit
  4. Repeat Steps a. - c. for each account 
     
What Happens Next?
  • A paper check will be issued to you the following pay period (for employees) or for your next refund (for students). Future funds will be issued via paper check until you re-enroll in direct deposit, which you can do at any time.
