Resources: Reimbursement Options for Travel Expenses

When requesting reimbursement for lodging and meal expenses, travelers may select one of four options. The method selected must be used for the entire trip.

Option 1:  Actual Expenses Reimbursement

  • The traveler may be reimbursed for the actual costs of reasonable and necessary lodging and gratuities. Meals are reimbursed up to a daily maximum, see Policy Notes: Travel Meals.

Option 2:  Per Diem Reimbursement for Both Lodging and Meals

  • The traveler may be reimbursed for lodging and meals on the basis of a full per diem rate.
  • Per diem rates vary by area.

Option 3:  Actual Lodging Expenses, Plus Per Diem for Meals

  • The traveler may be reimbursed for actual lodging costs, plus applicable per diem rates for meals.
  • Meal per diem rates vary by area.

Option 4:  Actual Meal Expenses up to Daily Maximum, Plus Per Diem for Lodging

  • The traveler may be reimbursed for the actual meal costs up to a daily maximum plus the applicable lodging per diem rates.
