These contain typical elements found in video cataloging. Examples are DVDs.  See the sections on the 007, 300 and 530, 344,346, 347 and 338 for details of other video formats. Sample text is provided merely to demonstrate how to transcribe date, how to construct notes, and how to punctuate. These sample records illustrate common situations. Each video is different, however, and may need to contain elements which may be in one of the other sample records or may not be covered in these examples. If in doubt, see the Explanations of the fields or Video cataloging resources. Boldface field tags indicate fields that are mandatory. Boldface data elements are always that value for the type of material. Regular type field tags indicate fields that are mandatory if applicable. Elements in blue are optional.

Reformatted video (reproduction of a video in an obsolete format) , nonfiction
These films are ones which we own in an obsolete format and make a replacement copy for use because they are longer available from a commercial publisher. We may make the copy ourselves or have a commercial duplicating company make it for us. We treat these as unpublished videos per OCLC Bibliographic Formats and Standards Section 3.7. As part of the process, search Argo for the ckey of the VHS record and change the ckey to the ckey of the DVD-R Also, the VHS record should NOT be withdrawn, but instead given the current location SHADOW, with a tech note stating: [mm/dd/yy] Does not circulate. Please use digitized copy. Shadowed to track ownership for copyright purposes [initials]/p>

These examples in this table are the most common in video cataloging. For further descriptions of the fixed fields and other applicable values, see the MARC 21 Format for Bibliographic Data in the section on the 008 for visual materials, found in Catalogers Desktop or online.  For Dat_Typ, use in the order of precedence as given in this table (e.g. "p" takes precedence over "t").

For Dat_Tp t, this is the publication or inferred publication date, even if the same as the copyright date (per message from D. Reser, LC)--However, LC-PCC-PS June 2012 update says generally don't do this.
Date2   4 digit date to be used when Dat_Tp is p, tor q. Unknown digits may be represented with a "u" . This date represented the production date of the original (e.g. when the original film was released or when the original television program was aired). For questionable dates, Date2 would be the last date in a date range given in the 264$c (e.g. between 1997 and 2004 would have Date1 2004 and Date2 1997). When there are 264 fields with publication date and a copyright date, the copyright date goes in Date2 
Ctry xxu Code for the country of publication. For unknown country, use xx. For a locally-made reproduction that is not considered published, use xx. For list of codes, see Region and Countries table

020 ISBN

While it may seem a bit silly for a video to have an International Standard Book Number, it is not uncommon. Record the 10-digit or 13-digit number if it appears on the item (RDA 2.15.1.4). Do not include the hyphens (OCLC Bibliographic Formats and Standards).  If qualifying information is necessary ((e.g. (set) or (disc#) put it in $q at the end (OLAC best practices).

024 Other Standard Identifier (UPC or DOI)

Optionally, put other standard identifiers in the 024 field (RDA 2.15.1.4 presumably). The UPC is 12 digits (including the smaller ones before and after the main sequence), and the first indicator is 1. The EAN is 13  digits and the first indicator is 3. Some video contain a DOI (Digital Object Identfier), which may be designated as a DOI or as an EIDR.  It is core if present (RDA 2.15), but at this point it is uncertain whether the subfield $2 for this should be doi or eidr.

028 Videorecording Number

The 028 field contains the videorecording number (another standard identifier, RDA 2.15.1.4). This is typically found on the spine of the container, though sometimes it is on the disc label or somewhere on the lower half of the back of the container. Subfield $a contains the number and subfield $b contains the name of the publisher.  If qualifying information is necessary (e.g. (set) or (disc #)), put it in $q at the end (OLAC best practices). Here are two examples.

033 Date/Time and Place of an Event

This field contains a formatted date/time and place for the capture, recording, filming, execution or broadcast.  Use this when cataloging television program with a known broadcast date, such as a series with beginning and ending date, or a live broadcast.  Also use for video or film capturing a live event.  This should be used in conjunction with the 518 field.  For further information on coding the 033, see www.oclc.org/bibformats/en/0xx/033.html.  Field 046 is for date of creation and should be preferred for films that are not live events and for television programs when original broadcast date is not known or is of lesser importance.  Both fields may be used if it seems reasonable in the circumstances (e.g. a live event edited for later release)

Dates go in $a or repeated instances thereof. Use the format of YYYYMMDD. Any unused positions are filled with hyphens. If you needs hours and minutes, check the OCLC documentation for directions.

041 Language

The 041 field is for language.  Only input this field if the code Lang in the 008 field does not express the full information necessary (e.g. there is material in more than one language or more than one subfield is required). The first $a must match the code Lang in the 008 field, and this will be for the predominent  spoken, sung or signed language. If there is more than one language on the sound track, code the predominant language in the first $a and each other language in a separate $a. For a silent film, code 008 Lang zxx for no linguistic content (OLAC best practices). For subtitles, add each language in a separate $j. or intertitles, use $i. For captions (open or closed) for the hearing impaired, use $p. The language of a description for the visuallly impaired goes in $q and sign language goes in $r (only if it is supplementary to the audio. If signing is the primary language it goes in $a). The language of the original soundtrack appears in $h whenever there is any translation involved, either dubbing or subtitles (OLAC best practices). If there are multiple works in the resource with different languages, use separate 041 fields (OLAC best practices). Brief sequences of language(s) other than the main language(s) may be ignored (OLAC best practices).

It is rare for videos which require an 041 not to be involving translation in some way. Therefore, the first indicator is usually 1. However, if there is a case where no translation is involved (no dubbing, alternative soundtrack or subtitles), the first indicator would be 0.

This should only be used by authorized BIBCO catalogers.

043 Geographic area code

This should be used for nonfiction films which are about a specific geographic place (PCC RDA BSR). See the MARC21 codes list at www.loc.gov/marc/geoareas/ (or the Cataloging calculator at calculate.alptown.com/) for appropriate values.

046 Date of Creation

Put the year of  original release in the 046 $k. If that is not applicable, put the original year of production in that field. Use only the year. (RDA 6.10.1.3). For multiple films in a single resource, repeat a separate 046 field for each film (OLAC best practices), or use the subfields for aggregated content, putting the year of the earliest film in $o and the year of the latest film in $p. If you have a film that was actually produced over multiple years, use $k for the beginning date and $l for the ending date.  For a television program or series with a relevant date or dates of broadcast, or for a capture of a live event, prefer field 033.  Both fields may be used if it seems reasonable in the circumstances (e.g. a live event edited for later release). Use only for a known date, do not record an estimated or uncertain date (OLAC Best Practices).

100 Creator main entry

Under RDA, it is possible for a single person to be considered the main entry of a moving image work. Do this if there is a single person who did all of the major functions--production, direction, script or idea, director, photographer, editor, etc. (RDA 6.27.1.2). If it is a collaborative work but one person or corporate body has the principal responsibility, use a title main entry and not use a 100 field (RDA 6.27.1.3 exception for motion pictures). See field 700 for general guidelines on formulating names, as well as the SUL Authority Procedures.(not yet available)


Per RDA 18.5, and using terms in RDA Appendix I, find a relator term which describes the relationship of the person or corporate body to the resource and put that in a $e. If there are multiple applicable terms, put them in repeated $e subfields. The terms are in lower case. If the person’s function cannot be determined, omit the relator term. For the 100 field, the term will usually be filmmaker. This field should not end with a period unless the last word is an abbreviation with a period.

130 Preferred Title (AKA Uniform title, when there is no 100)

A 130 may be necessary for a resource which contains a single film unless the record has a 100 field (RDA 6.2.2, 17.8 indicates that “preferred title” is required, email from J. Kuhagan, Sept. 14 2010 says LC has no not yet specified policy that the 245 does double duty as the transcribed and the preferred title when there is no conflict or language qualifier needed, but local consensus is that it does].  A resource with multiple films will have its preferred titles in 730 fields.  A 130 should only be required if (1) the heading is already established in NAF, (2) there is a conflict with another title or heading, (3) if some addition, such as a language qualifier, is necessary because the film is dubbed (4) the title on the title frames is different from the original release title.  Follow Capitalization practices from RDA appendix A (6.2.1.4), don't use found capitalization.

Check to see if there is a conflict (LC-PCC-PS 6.27.1.9 appendix 1, see steps below for procedure), and if there is a conflict, add the form of the work, either Motion picture or Television program (RDA 6.1) to the heading in parentheses. In case of doubt use Motion picture. If it still conflicts add  the year (RDA 6.4). If it still conflicts, the director or filmmaker in the shortest intelligible form and if it still conflicts add the production company in the RDA form in NAF (LC-PCC-PS 6.27.1.9). This field should not end with a period unless the last word is an abbreviation with a period.


If your video has multiple works and a collective title, also check collective title for conflict as well as titles of individual films (LC-PCC-PS 6.27.1.9 section on monographs would presumably cover aggregate works).  If the collective title needs a qualifier, use one or more of the following: corporate body, date of publication, descriptive data elements (e.g. edition statement), place of publication.  These are not in priority order, use whichever makes the most sense in the circumstance.  Politely ignore the fact that you are qualifying a work with attributes of the manifestation.


[PCC has not yet given instructions on when and under what conditions NARs should be made, so continue to apply old rules of making a NAR only for a work used as a subject or related work added entry when the work is not in LC's catalog

To determine the form of the 130, follow these steps:



Language issues

If the video containing a single film is dubbed, use a 130 and put the name of the language into which it is dubbed in the $l (RDA 6.11.1.3). If there is more than one language version of the video on the resource, don't use a 130, instead give a 730 with the original language in $l, if it is one of the languages represented and make a 730 for English if it is one of the versions (RDA 6.11.1.4, SUL decision). Optionally, give a 730 for any other language version deemed useful for that particular resource (SUL decision). Do not give a 730 with a $l for a subtitled version (SUL decision), but do give a 730 (or 130 if the DVD is a single film/single language) for a silent film with translated intertitles (i.e. the only intertitles appearing are translated ones, not the original translated with subtitles). If there are multiple films on the video, use a 730 for all titles.

For a simple dubbed soundtrack:

240 Preferred Title (AKA Uniform title, when there is a 100 field)

This field would only be used when there is a 100 field. Since conflict is unlikely here, this field would only be used when a film entered under the filmmaker had been previously released under a different title or if there were a collection of films by the same filmmaker, all of which qualify for entry under the filmmakker rather than for title main entry.  In this case, a 240 of Works or Selections might be appropriate.  Consult RDA for details.

 



245 Title, Statement of Responsibility



250 Edition

Transcribe an edition statement that appears on the source of information (RDA 2.5.1.4). You may transcribe it exactly as it appears, including capitalization and punctuation, or apply Appendix A (old AACR2 capitalization), whichever is easier. However, do not abbreviate anything which is not abbreviated on the piece. The source should be, in order of preference, the same source as the title, another source within the resource, accompanying materials, or container, or an outside source such as a reference source (RDA 2.2.4). If it comes from outside the resource, put it in brackets (RDA 2.2.4 LC-PCC-PS 2.2.4). In case of doubt about whether a statement is a designation of edition, consider the presence of a word such as edition, issue, release, level, state, or update or a statement indicating: difference in content , a difference in geographic coverage, a difference in language, a difference in audience, a particular format or physical presentation, a different date associated with the content, a particular voice range or format for notated music as evidence that such a statement is a designation of edition. If a resource lacks an edition statement but is known to contain significant changes from other editions, supply an edition statement, if considered important for identification or access.  Bracket this statement (RDA 2.5.1.4 optional addition).  Multiple edition statements should be recorded in the order found on the source of information using separate 250 fields (OLAC best practices).

If the resource contains more than one work and they are from different countries, input separate 257 fields (OLAC best practices).

Videorecordings present challenges in this area. There are often many corporate bodies listed on the disc or container and it is sometimes difficult to decide which is the publisher. Some are simply the name of the production company of the original film or television program, but sometimes these bodies also have home video publishing arms, which may or may not have the same name. There is often a separately named distributor, which generally should not be input unless there is no name or place of publication given or inferred unless it is equally prominent as the publisher. (SUL policy).


The source of information may be the disc label, accompanying material, or container (RDA 2.2.2.1,2.2.4)


Transcribe places of publication and publishers' names in the form in which they appear on the source of information (RDA 2.8.1.4) You may transcribe it exactly as it appears, including capitalization and punctuation, or apply Appendix A (old AACR2 capitalization), whichever is easier. However, do not abbreviate anything which is not abbreviated on the piece, and do not abbreviate supplied information (RDA B.4)


If there is more than one publisher, record the first place and publisher (RDA 2.8.2). Record the others if recording only the first would be misleading. If there is no publication information stated, always try to infer it, to avoid the complications noted below


When transcribing the place of publication, include both the local place name (city, town, etc.) and the name of the larger jurisdiction or jurisdictions (state, province, etc., and/or country) if present on the source of information (RDA 2.8.2.3). If there is no place of publication stated on the item, try to infer a place of publication. If the publishers name is known or is represented by a URL, search the web to see the location of that publisher and put it in brackets unless the country is obvious. If you cannot infer or locate a place of publication, you must input the phrase: “Place of publication not identified” in brackets (RDA 2.8.2.6, brackets:LC-PCC-PS  2.2.4) in the 264$a, and you must add a place of distribution, if stated, in another $a after the publisher statement (RDA 2.9). If there is no place of distribution, transcribe a place of manufacture in $e (RDA 2.10)


Optionally, when transcribing a publisher name, omit levels in a corporate hierarchy that are not required to identify the publisher. Do not use a mark of omission (...) to indicate such an omission (RDA 2.8.1.4). If there are multiple publishers, they go in the same 264 field. If there is no publisher stated on the item, try to infer a publisher. If the named distributor is known to be the publisher, infer that name in brackets, but also include the distribution statement. If there is a URL and no named publisher, generally assume that the URL belongs to the publisher and search the URL to see if you can find the name and put it in the record in brackets. If you cannot infer or locate a publisher, you must input the phrase: “Publisher not identified” in brackets (RDA 2.8.4.7, brackets: LC-PCC-PS  2.2.4) in the 264$b, and  you mayt add another 264 with a second indicator 2  with a distributor, if stated. (RDA 2.9). If there is no distributor, you may transcribe the manufacturer in another 264 with second indicator 3 (RDA 2.10).  Each element that needs to be bracketed gets their own set of brackets.  If there is no information of any sort available, only include the statements about the lack of place of publication and publisher.  Note that the original instructions in RDA were changed to make it clear that distributor and manufacturer do not have to be added when they are also unknown (so they are no longer core), but the original intent of the rule was to add distributor or manufacturer when they were named and the publisher was not, so that is a sensible guideline to follow.

For online video which is a reproduction, give the publication of the original distribution (the OLAC streaming media guidelines say "production" but they must mean distribution or broadcast).  Bracket if not transcribed from the resource.  For online video which is not a reproduction, give the publication of the first online manifestation. if that can be discerned (OLAC streaming media guidelines)


When doing variant edition cataloging, note that if at least one name in the 264 (or 260 on older records) matches the piece being cataloged, and the item seems otherwise the same, it probably should be considered copy rather than a variant. Given the varying ways that a cataloger may transcribe the confusing presentation on the item, and that distributors themselves often alter packaging. However, if there is a definite (i.e. not bracketed) country of publication, it should match. (OCLC Bibliographic formats and Standards. 4. When to input a new record)

Only bracket if the date is approximate.  If the video is a locally-made reproduction made for the purposes of reformatting an obsolete format to create a use copy input only the date of production of the copy (RDA 2.7.1.3)  (SUL decision).  Second indicator will be 0.

Date of Publication

Record the date of publication as stated on the item (RDA 2.8.6.3). If dates are in Roman numerals, convert them to Arabic numerals (SUL decision). If the date of publication is not identified in the resource, supply the date or approximate date of publication (RDA 2.8.6.6, RDA 1.9.2, LC-PCC-PS 2.2.4). Apply the instructions on supplied dates given under RDA, 1.9.2 and put it in brackets. If inferring the publication date from the copyright date you may follow it with a question mark if you feel uncertain. Here are various examples of inferred dates:

If an approximate date of publication for a resource that is in a published form cannot reasonably be determined, record the phrase : “date of publication not identified” in $c in brackets. (RDA 2.8.6.6, LC-PCC-PS 2.8.6.6), though LC says generally not to do this.

For online video which is a reproduction, give the date of the original distribution (the OLAC streaming media guidelines say "production" but they must mean distribution or broadcast).  Bracket if not transcribed from the resource.  For online video which is not a reproduction, give the date of the first online manifestation. if that can be discerned. Always bracket this date (OLAC streaming media guidelines).

Though LC-PCC-PS 2.8.6.6 and 2.11 say that LC policy is to not add a copyright date in most cases, it is not incorrect to do so, and SUL policy is to leave it to cataloger's judgement.  When adding a copyright date, you would put the copyright date in a second 264 field with second indicator 4 and precede the copyright date with the copyright symbol © and not end with a period. In this case you would code the 008 DATE “t”. Be careful that a copyright date is for the publication and not for the original release on film or television.  Dates relating to the original release are given in field 046 $k (SUL decision).  Also ignore copyright dates which merely relate to the package design (which may be difficult to determine--if in doubt, treat as copyright for the publication, particularly if there is no other reliable date or it is a brand new release). Publishers frequently reissue identical material in new packaging, so if copy exists and the only difference is copyright date, it may be a match. Beware of dates prior to 1997 for DVDs, earlier dates would either relate to the release or copyright dates of the film or copyright for the packaging. However, LC-PCC-PS 2.11 says "Give a copyright date for a single-part monograph if neither the date of publication nor the date of distribution is identified." so it's not exactly clear how this directive fits with the previous other instruction--presumably its if the date of publication is so unidentified that you can't even vaguely infer it.  Also, it is permissible to record multiple copyright dates that apply to various aspects (text, sound, presumably packaging ....), according to RDA 2.11.1.3.

If more than one unit, give the name of the unit in plural (RDA 3.3.1.5). If the item is a file or files on a CD-ROM, DVD-ROM or online, give the unit as 1 computer disc (RDA 3.4.1.5 ), or 1 online resource (RDA 3.3.1.3) as appropriate. If readily ascertainable, add the number of files in parentheses (RDA 3.19.2.3)

If there are 2 or 3 films, put all the durations in this field, separated by semicolons (RDA 7.22.1.5). Optionally, if the actual playing time, running time, etc., differs significantly from the time stated on the resource, record the stated playing time followed by "that is" and the actual playing time, running time, etc. Indicate that the information was taken from a source outside the resource itself as instructed under RDA 2.2.4

Record whether it is color or black and white (RDA 7.17.3), using the terms "color" or "black and white" and their variants (LC-PCC-PS 7.17.1.3)  Note that 7.17 is mapped to the "Physical description area" and to "general notes" in RDA appendix D1, but is mapped only to the 500 in D2 and in the RDA to MARC mapping in the RDA toolkit. Presumably this is an error.

In $c, give the diameter of a disc in inches and fractions of inches: DVDs, Blu-rays and VCDs are 4 3/4 in. (LC-PCC-PS 3.5.1.3). For videocassettes, record the size of the tape in inches (i.e. 1/2 in. for a standard VHS tape), UNLESS the tape is 8mm (LC-PCC-PS 3.5.1.4.3). Do not use a period except for the abbreviation “in.” (RDA B.7)

If there are multiple discs with different characteristics (e.g. 1 videodisc and one sound disc or CD-ROM), choose one as the predominant component and the other as the accompanying component (LC-PCC-PS 3.1.4). Either put the accompanying component in a separate 300 field or in a $e (LC-PCC-PS 3.1.4 SUL guidelines: Prefer a separate 300 field unless the accompanying component is clearly supplementary.) Other accompanying material may also go in a separate 300, or all into one $e separated by plus signs. Generally use the $e for minor accompanying materials such as booklets and small miscellaneous objects. Use the name of a carrier type from RDA 3.3.1.3 (LC-PCC-PS 3.1.4), Pagination of accompanying booklets are optional but may be useful for identification, if given, are in parentheses.  Information that would normally go in a 300$b and $c may also be recorded if they seem useful, but in $e there are no further subfields.  That information also goes into the parentheses (RDA D.1.2.6, LC-PCC-PS 3.1.4). Ignore minor materials, such as a sheet with chapter listings. If there is accompanying material in a paper format, record record the size of that material in centimeters. Use “cm” with no period. If you include accompanying material within the description, don't include 336, 338 fields and 337 for the accompanying material unless it is substanative.  Minor materials may be described in a 500 note.

This field indicates the “General type of intermediation device required to view, play, run, etc..” (RDA 3.2,LC-PCC-PS 3.2). Use “video” when the item is a DVD, Blu-ray, VCD (video cd), videocassette, or laser disc. Use Computer if it is a computer-based video file encoding (such as QuickTime, mpeg, flash, etc) and is encoded on a CD-ROM, DVD-ROM, Blu-ray, or is online. Be sure to add the $2 as indicated in the example.  Also add $b (OLAC best practices)

Indicate whether a disc is a recordable disc or standard pressed discs by recording in the 340 $d either the term "stamping" or the term "burning." (RDA 3.19.1.3). Follow that with $2 rdapm. Recordable DVDs can be told by the bluish hue of the recorded side of the discs; burned Blu-Rays are brownish on the recorded side. These do not always play in all machines. If the type of burned disc is known and felt to be important, make a disc characteristics note (538) giving the type of disc.

341 Accessibility content

Field 341 is to be used when the video has some sort of accessibility feature for hearing or visually impaired persons. First indicator 0 is for primary content, 1 if for secondary content, and blank is for no information. $a is the primary sensory mode and $b is the accessibility feature. MARC indicates a controlled vocabulary should be used but doesn't say which. The below examples are from MARC so just do it like that until we get further information.

344 Sound Characteristics

For digital discs or online materials with sound, record "digital" in $a (RDA 3.16.2.3). For videotapes, record "analog." Add $2 rdatr. Using a separate 344, for optical discs (i.e. DVD, CD-ROM, Blu-ray) add $b optical (RDA 3.16.3.3); for videotapes, use "magnetic." Add $2 rdarm. If it can be determined, add another 344 with sound characteristics in e $e "mono," "stereo: or "surround" (RDA 3.16.8.3). If there are multiple sound characteristics (e.g. choice of stereo or surround), put in multiple $g subfields. Follow with $2 rdacpc. In yet another 244, use $h to record other special playback characteristics (RDA 3.16.9.3) such as Dolby Digital Dolby 2.0 or DTS-HD master audio, or LCPM. Do not add a ?$2 for these, except for LPCM. which is on the RDA list of terms for this field at RDA 3.16.9.3. For something on the list, use $2 rdaspc. The Dolby terms in RDA 3.16.9.3 refer only to analog media so would not be used for DVDs.

This is a core element per LC-PCC-PS 3.18 when applicable.  For a videocassette, in $a give video format VHS or other term from the list in RDA 3.18.2.3; for a laser disc, use laser optical.  Follow with $2 rdavf. Do not input anything in $a for a DVD, VCD, Blu-Ray, or other digital video. Using a separate 346 field and $b, for a tape or a disc, give the broadcast standard NTSC, PAL, or HDTV if applicable (3.18.3.3).    Follow with $2 rdabs. If a DVD does not say if it is NTSC or PAL, open the disc in the VLC player, issue Control-J or right click and go to Tools>Codec information.  Look at the frame rate.  Technically PAL is 25 frames per second and NTSC is 30, however VLC may double this for a figure of 50 (PAL) or 59.940059 (NTSC).

347 Digital file characteristics

This field is not applicable for analog videocassettes.(e.g. VHS, Beta, U-matic), nor laser discs. Use separate 347 fields for each piece of information which would not have the same $2 (or no $2).

File type

In subfield $a, give the file type, in singular, from the list in RDA 3.19.2.  For videos, this would be: video file.  This is a core element per LC-PCC-PS 3.19.2.  If multiple file types are present in the resource, give information for each in separate 347 field (OLAC best practices). Add $2 rdaft.

Encoding format

In another instance of the 347 field, in $b, record the encoding format of a DVD video, or Blu-ray or VCD or of a computer disc. This is a core element per LC-PCC-PS 3.19.3. The former list of video encoding formats in RDA 3.19.3.3 no longer appears in RDA, so it is no longer RDA vocabulary so is not followed by $2. Nevertheless, for consistency's sake it's probably best to continue using that vocabulary. It can be found in the RDA toolkit in the instruction archive for April 2016 or earlier updates. 4K ULTRA HD is a new encoding format that was not in the RDA vocabulary.

File size

Do not use for conventional DVD, Blu-ray, VCD or for online resources.  If you have a single video file on a disc that's in a computer video format such as flash, avi, QuickTime etc., put the file size in $c if readily discernable. Give file size in bytes, kilobytes (KB), megabytes (MB), or gigabytes (GB), as appropriate. (RDA 3.19.4)

Resolution:

In $d, add resolution (RDA 3.19.5) if known and considered to be important.

Transmission speed

For streaming media, in $f, add encoded bitrate (i.e.transmission speed) (RDA 3.19.7) as applicable and readily ascertainable.  However, in the PCC Provider-Neutral record, this information will usually not be given.

Region coding

This is a core element per LC-PCC-PS 3.19.6. Note the region code, or if it is not region coded; this will go in $e. If the region coding given on the packaging is known to be incorrect, input it as stated followed by [that is, correct code]. Region codes have recently become RDA controlled vocabulary, see RDA 3.19.6.3. Use "all regions" for region 0 and region-free (RDA Glossary). Put the region code in the same 347 field as video file, the one followed with $2 rdare (OLAC Best Practices, version 1.1)

4xx Series (490, 830)

Transcribe the series from the resource (RDA 2.12.2.3, refers to 2.3.1).  You may transcribe it exactly as it appears, including capitalization and punctuation or apply Appendix A (old AACR2 capitalization), whichever is easier (SUL decision). If the source of information for the series title bears a title in more than one form, and if both or all of the titles are in the same language and script, choose the series titleon the basis of the sequence, layout, or typography of the titles on the source of information. If the sequence, layout, and typography do not provide the basis for a clear choice, choose the most comprehensive title. (RDA 2.12.2.5 refers to 2.3.2.5)

Series information for videos refers to a publisher series, not a television series. Publishers series usually appear on the container. Sometimes it is not clear whether something is a series, a series-like phrase, or a mere descriptive phrase.

Search NAF for a series. If found there, follow the tracing practice indicated. If the authorized title is exactly the same as that on the item, put the series in the 490 field with a first indicator 1, and put the same thing in the 830 field with a second indicator 0. Include numbering if appropriate,which should also be transcribed from the item .

If the authorized form of the series is not identical to that on the item (often due to the addition of a parenthetical qualifier or an initial article), transcribe the form that's on the item in the 490 field with a first indicator of 1. Transcribe the authorized form in the 830, with a second indicator of 0. Include volume numbering if present.  Numbering in the 830 should be in the form given in the NAF record.

If uncertain if a statement is really a series, alternatives include: ignoring it, putting the statement in quotes in a 500 notes, or making a 246 title added entry with the wording "additional title on container" or "at head of title on disc" or something of the like.

 

5XX notes

See RDA for the full range of note types which may be required in video cataloging. Some notes are required. If in doubt--if some bit of information not elsewhere in there record seems that it would be important to the user, include it in a note.

Use a 500 note for a note which isn't given its own special tagging.



538 Technical Note

For a streaming video, give the note: Streaming video file. (RDA 3.19.2.4).  This note may also be used for a complicated encoding format (RDA 3.18.3)

It is often important to note whether a disc is a recordable disc rather than the standard pressed discs. Record whether a disc is stamped or burned in the 340 $d. If the type of burned disc is known and felt to be important, make a disc characteristics note giving the type of disc.)

If there is another disc of a different type as accompanying material, the disc characteristics of that disc may also be put in a 538 note, preceded by a $3 with the name of the carrier.


Per RDA D.1.1, put  aspect ratio in a 500 note.

Use a 532 note for any special accessibility information, such as closed captioning or other features designed for the hearing or visually impaired (RDA 17.14.3). Information should also be coded in 041 and 341. Closed captions should always be noted when present. (Formerly LCRI 7.7B2, but not mentioned in LC-PCC PS 7.14) Often the only clue is the symbol of CC in a box somewhere on the packaging. This note may be separate or combined with other language information. It is always paired with a genre heading: Video recordings for the hearing impaired. On more and more DVDs, there is an optional track designed for the hearing impaired. This is not closed captioning, but should be noted. First indicator is 1 for accessibility features.

 511 Cast

List prominent cast members, voice actors, narrator or narrators, etc. if they are considered to be important (RDA 2.4.2.3, 2.17.3, 7.23). First indicator 1 gives a print constant "Cast:." If Cast is not appropriate, use first indicator 0 and put in whatever text is appropriate. Use judgment in how many cast members to list.  Remember that this field is searchable in a full record search, so one may want to list cast members even if they are not to be traced. If two films are on the same tape or DVD, you may split the cast into two notes or combine in one if it is more practical. Casts for more than 3 films may be instead included in the contents notes (SUL policy).

Do not include the names of assistants, associates, etc., or any other persons making only a minor contribution. Preface each name or group of names with a statement of function.  Use this field to record the names of producers, writers, directors, cinematographers, editors, composers, production or distribution companies not named in the statement of responsiblitiy. This note should be in English and there is no prescribed order or terminology other than that the statement of function should precede the name.  This does not have to be taken from the credits, so information could be copied and pasted from Internet Movie Database.  Generally try to put the director first for motion pictures or single television programs.  For television series, it's generallly more useful to put the producer or executive producer first.

Local SUL policy, as an extension of RDA 2.17.6, make a note when the year of the original production and/or release, even when it is the same as the date of publication, when this information is available and not given elsewhere in the description.  When a film was originally produced in a foreign country, give a note stating the country (or countries). In addition, put the country of publication in the 257 field and the date of production in 046 $k.  Though this is adapted from an old LCRI, it seems useful to continue making it to provide an eye-readable note for users, as fields 257 and 046$k will probably not be displayed. A simple note may suffice, as in the first example, for most cases, particularly when it is unknown when or in what manner a film or television series was originally released or distributed. Additional detail may be given if known.

Formatted Contents

If there is more than one work in the resource and one is predominant, generally give an informal 500 note as shown above in the section on 500.  However, if you have no predominant work, use a formal contents note. (LC-PCC-PS 25.1.1.3).  Optionally, if more expedient, you could use a 505 when there is a predominant work with bonus materials which are independent works in their own rights with titles and statements of responsiblity or other information which should be noted.. For the works named in the 505, also trace them in 730 fields if considered important (RDA 27.1.1.3). If a variant title of one of the component titles is desirable, put that in the 740. Generally trace independently released films but do not trace individual episodes of television series. Do not use an enhanced contents note (LC-PCC-PS 25.1.1.3). Record the titles proper that appears in the source that provides the best identification (LC-PCC-PS 25.1.1.3). Interpret "best identification" to mean whatever source is clearest and easiest, which may or may not be the credits (however, look at the credits if the identity of the work is in doubt). Alternatively, if available, data derived from a digital source of information can be copied into the without modification (except for the space-dash-space between titles.Also transcribe the first statement of responsibility (LC-PCC-PS 25.1.1.3). Transcribe subsequent statements of responsiblity for anyone you intend to make an added entry for, including actors (if not named in the 511) For publications in one volume, omit chapter and section numbering. Genres

Also add appropriate genre headings.  Genre headings are not subdivided geographically.  Genre headings are coded 655 with a second indicator 7.  The heading is followed by a $2 lcgft. This is to indicate that the heading comes from the Library of Congress Genre/Form Terms.
 

Use the most specific genre rather than both broader and narrower terms. Assign the predominant form first, if applicable (LCGFT manual, J113) LC forces catalogers to choose between fiction and non-fiction, and between films and television, and between short and feature films. For fiction vs. non-fiction, events, such as filmed performances, art pieces, literary readings, etc. are considered non-fiction even if the content is fiction. If something is not a television program or if in doubt, use the heading for film, even if the item is shot and distributed only on video or online. For things deemed to be films, give the heading "Feature films" to films that are 40 minute or longer and "Short films" to films that are less than 40 minutes. This means that for a resource containing a long film and one or more short films, both headings would apply. If different genres apply to different films in a collection, you may distinguish them by adding a $3 with the title of the film before the applicable genre (LCGFT manual, J105), however, only do this if there are only a very few films involved in order not to have an unnecessarily complicated record.


Whenever a video has captioning or subtitles intended specifically for hearing impaired persons apply one of the following headings.

According to the PCC Genre FAQ (http://www.loc.gov/catdir/cpso/genre_form_faq.pdf), "LCSH headings (tag 150) assigned to a 655 field in lieu of an authorized LCGFT term should to be coded with second indicator 0 (zero), indicating that they are authorized by LCSH. If the scope note says that the heading is used for works of a given type, then it can be used in a 655 field. If the scope note says that a heading is used for works about (or on) a given topic, then it cannot be assigned to a 655 field. If there is no scope note, then the cataloger should use his or her best judgment ... If, according to the above guidelines, a topical heading cannot be assigned in a 655 field, but a library would like to use it in that way, the cataloger may code it as a local heading: 655 #7 $a Interactive art. $2 local".

LC has not yet defined headings for use with video art, although the genre heading has been proposed at least twice.  According to the PCC FAQ, however, "Video art" may be used as a genre heading because it has no scope note.  Also, LC has in fact used the heading as a genre heading.  However, "Performance art" has an "about" scope note and may only be used as a local genre heading.  Therefore, if either heading is needed, code as follows. (note that "Video installations (Art)" is an lcgtf heading and should be coded as a normal genre heading.  For "Conceptual art," which has no scope note, use your best judgement.

7xx Added Entries and linking entries

Added entries for persons and corporate bodies
These fields should not end with a period unless the last word is an abbreviation with a period.
Provide added entries for all creators (RDA 9.2, 19.2 SUL policy). Per Appendix I, RDA seems to define “creators” as persons who are screenwriters or filmmakers (generally makers of small indie films who are usually the producer,  director,  writer and cinematographer) plus interviewers and interviewees if the film is primarily an interview (rather than a documentary which includes bits of many interviews). Per SUL policy also make added entries for directors of feature films and, judiciously, corporate bodies involved in the making of a film or television program (when they are prominently named and appear to actually have some overall responsibility and are deemed likely to be a useful access point). Also, trace, prominent performers (RDA 20.2) when they are professional actors or well known public figures. Search names in NAF and use that form. If there is no form in NAF, formulate a heading according to the cataloging rules. In general, use the name as it is given (RDA 9.2.2), if a fuller name is known, and the name conflicts, add those additional parts in parentheses (RDA 9.5.1, LC-PCC-PS 9.19.1.4), add appellations like Jr. (9.2.2.9.5), routinely add birth and death dates if known (RDA 9.3), use an open date if the birth date but not death date is known, even if the person is obviously dead (LC-PCC-PS 9.3.2.3), flourished or active dates are permissible, and, if there is no other way to distinguish the heading, add an indication of their profession or occupation (RDA 9.16), e.g. actor, filmmaker, etc. in parentheses.  When creating a new NAR, be sure to look at how the name is presented on the credits.

NACO catalogers should make a NAR in most cases for a heading which is not established. PCC records must have all headings established.

Per RDA 18.5, and using terms in RDA Appendix I, find a relator term which describes the relationship of the person or corporate body to the resource and put that in a $e. If there are multiple applicable terms, put them in repeated $e subfields in WEMI order .  If you wish to trace the publisher, "publisher" is an acceptable relator term despite not being on the list (PCC Guidelines for the Application of Relationship Designators in Bibliographic Records).   The terms are in lower case. If the person’s function cannot be determined, omit the relator term.

Added entries for titles
These fields should not end with a period unless the last word is an abbreviation with a period.
Added entries are made for related works and for analytical works (i.e. when there is more than one work on the video or DVD or accompanying materials).

Related work added entries (other than component part/analytical entries)

Related work added entries are for works somehow related to the work being cataloged. For videos, this is usually the work upon which it is based, or the television series on which it was broadcast (when the series is an "umbrella" series collecting material on different topics made by different people). This work is traced in its catalog entry form: i.e. main entry and title in the original language (RDA 24.4.2, 6.27). Look for the work in NAF and use what is there). If not found there, look for an LC bibliographic record in RLIN or in the Library of Congress online catalog. If found, use the main entry/title combination found there (if the record has a 240 field, use instead that title, without any subfield additions). Make sure the name part of the heading is in NAF, and if they differ, use the form of the name found in NAF. If no LC record is found, find a record in OCLC or in the Stanford catalog. In this case, a NAR must be made if the record is to be a PCC record and a reference would be traced on the NAR.  If no authority or bibliographic record is found, trace only the author, and do not code as PCC  [SUL decision].
 

For works for which the original title is unknown, just trace the author. Also only trace the author for works which are based on characters created by an author.

Add a designator specifying the relationship (RDA 24.5.1.3) based on the list in RDA Appendix J. Put this in $i preceding the title.   Do not  add a $e designator specifying the relationship of the author to the title. (per PCC Guidelines for the Application of Relationship Designators in Bibliographic Records).. Punctuation is based on LC-PCC-PS 1.7.1.

Analytical title added entries

Analytical added entries are made for component works within a resource--such as separately titled accompanying works, separately titled bonus materials which have previously been issued separately, or multiple works on one video or DVD. (RDA 25.1). For analytical added entries, the second indicator is always 2, and (except for 740s), precede the title with: $iContainer of (work) or Container of (expression) (per PCC Guidelines for the Application of Relationship Designators in Bibliographic Records)

Do not make title added entries for routine accompanying materials such as guidebooks, study guides, instruction booklets, etc. Only make an added entry if the work looks significant enough to be sought be a user on its own, or if the title is different from the main piece it is deemed useful to trace in case the piece becomes separated from the main work. In this case, use a 740 to trace (LC-PCC-PS 25.1.1.3, SUL proviso).

For a work contained within the resource that has been separately published or is a distinctive work in its own right and not merely a work dependent on the video, use a 700 name title added entry or 730 uniform title as appropriate. Add a designator specifying the relationship (RDA 24.5.1.3) based on the list in RDA Appendix J. Put this in $i preceding the title.   Do not  add a $e designator specifying the relationship of the author to the title. (per PCC Guidelines for the Application of Relationship Designators in Bibliographic Records). Punctuation is based on LC-PCC-PS 1.7.1.. For example, an accompanying book by an author would be appropriate to trace:

Some videocassettes and many DVDs offer multiple works. The 730 and sometimes 740 fields will be used to trace those titles. Look up these titles to see if uniform titles are needed, using the same guidelines as for the 130. If a uniform title is required, use the 730 field to trace the title (unless it is a rare case where a creator main entry is appropriate).

The DVD may also contain multiple language versions.  Make a 730s for all the language versions, including the original.  For the original language version use 2nd indicator 2, precede the title with: $iContains (work):$a for the original language, do not add a $l. (LC-PCC-PS 6.11, 6.27.3, OLAC best practices).  For other language version, use 2nd indicator 2 and precede the titie with $iContains (expression):$a  and add $l for the language which is not the original language (e.g. the dubbed version).  If there are 3 or more  language versions, make a 730 for the original (without $l)  and one for the English version (with $l) (SUL decision).  Optionally, give a 730 for any other language version deemed useful in the particular circumstance (SUL decision).  Do not give an added entry with $l for subtitled versions (SUL decision).   If the uniform title is substantially different than the title as it appears on the resource, add a 740 to trace that title but omit the initial article (SUL decision). Trace only titles for separately released motion pictures or significant documentary materials with unique titles which may be sought on their own. Do not routinely trace other bonus materials (SUL decision).

These films are ones which we own in an obsolete format and make a replacement copy for use because they are longer available from a commercial publisher. Put a linking entry 776 in the record for the reproduction when cataloging the reproduction.  The 776 is used to indicate the original record in OCLC. Do not add a reciprocal link to the record for the original.

When cataloging a reformatted video (ones which we own in an obsolete format and make a replacement copy for use because they are longer available from a commercial publisher), put in an 856 containing the cat key of the Symphony record for the original. Also put an 856 in the record for the original back to the record for the reproduction. Below are a pair of reciprocal links, the first is in the record for the reproduction with the ckey for the original; the second is in the record for the original with the ckey of the reproduction.

Updated October 3, 2018 - A few corrections-- re-ordered the 040 elements, added copyright dates to examples, tweaked the note about original country and date of production to more reflect reality, removed the sound characteristics note from 500 (forgot after it was moved to 344), corrected the text about accessibility issues.

Updated May 24 2017 - RDA April 2017 and fasttrack updates, plus cleaned up some other unnoticed things. Revisions to 347 $e since regional encoding is now an RDA controlled vocabulary and should be followed by $2 rda. This also caused a change in procedure when the region code is incorrectly given on the piece. Major change in RDA 2.3.1.7.2, changing the old "Chuckles" example in RDA so that a distinctive part title is now the 245 $a and a main title (including a TV series, verboten before) is a series. No word on how to code that in MARC since if the title is established it's unlikely to be coded for series usage. This change doesn't affect the choice of AAP (still governed by 6.27.1.9 Appendix 1) nor parts with indistinct or numbered titles. The OLAC DVD Best Practices want language subtitles to be a source of a parallel titles, so changed to follow their practice. RDA officially changed term "mixed" to "mixed aspect ratio." Updated the language section to specify practice for translated silent film intertitles.

Updated January 27 2017 - RDA fasttrack updates through 2016, plus unnoticed things from the previous update. Revisions to 347 $b encoding format (terms deprecated), $e region and $2. Dolby clarification in 344. Added examples to 020, minor tweaking of 041, added date citation to 520.

Updated May 18, 2016 - RDA updates through April 2016. RDA 3.19.1.3 added "burning" and "stamping" for 340 $d, revised 538 disc characteristics note. LCGFT manual published in March, revised 655 to indicate specificity, order, and $3 usage.
