Q&A: Congressional Hearings and Prints in SAL 3

Question: I keep coming across records in Socrates for Congressional Hearings that say they are in Green Library Federal Documents, but I don't find them on those empty shelves in the Green West Basement. There seem to be too many for them ALL to be missing. Where are they?

Answer: They are probably in SAL-3, and need to be paged. The problem is that a considerable number of these hearings in SAL-3 are cataloged as "items" [that is, have barcodes] only as part of "Series", but also have individual records ["analytics"] in Socrates that may still say: Green Library Federal Documents. So here is the drill for finding these [the staff at the Information Center, Green Library, can help with this rather elaborate process]:

To page them from SAL-3, you must find their Series entry. So:

1. If you have a Y4 [Hearing or Print] that gives as it's location Green Fed Docs, first make sure that it's not on microfiche. Those are housed in the microfiche drawers just to the left inside the Gov Docs Stacks doors, Bing Wing, first floor.

2. Then, if it isn't in the fiche collection, do a Combined search on Socrates, set the Format to Serials, set the Library to SAL-3, put the Committee's name, such as Armed Services, in the Author field, and in the Everything box put something like: hearing or hearings.

3. Match the call number on the analytic record with the proper call number on the series. Having made a match, you can then page the item from SAL-3. Note that many hearings and prints will be bound together, so the correct call number may contain several items. Below is an example of this drill. Warning note: Having the Loan Desk do standard searches for items not on the shelf could be counter-productive, as many analytics could wind up as "missing" when they are in fact in SAL-3.

yielding two series records, one for 1999 and later, one for before 1999, and those numbers in the call number, 985-86, indicate the year: 1985-1986:

And then, matching the call number on the "analytic" to the call numbers on the "series", you can page items 284 through 289. Note that for such Committee Series, there will be HUNDREDS of volumes [items] on the record, so note the particular call number very carefully, as it will be easy to page the wrong item.
