About The Event

About UXSS 2020

UXSS 2020 is a four day program hosted by Stanford University's PULSE Institute at SLAC National Accelerator Laboratory. UXSS 2020 is organized in collaboration with the Center for Free-Electron Laser Science at DESY in Hamburg, Germany.

The goal of UXSS 2020 is to disseminate information and train students and post-docs on new opportunities in ultrafast science, particularly using X-ray Free Electron Lasers. Lectures will be presented by expert scientists in this exciting new field. The attendees will be expected to participate in the discussions and will prepare a mock beamtime proposal poster with input from the instrument scientist for the Linac Coherent Light Source.

UXSS 2020 will take place at SLAC National Accelerator Laboratory, 2575 Sand Hill Road, Menlo Park, CA 94025. Only registered attendees and invited speakers can attend the conference sessions.

Access to SLAC is through a guard station. Bring your government-issued photo ID, such as driver's license or passport. Names of registered participants will be provided in advance to SLAC security.

Accomodations

Stanford Guesthouse

The Stanford Guest House is located on SLAC’s campus. Guests have access to in-room, high-speed Internet, fitness center, 24-hour reception desk, laundry facilities, free parking, and complimentary tea and coffee. All rooms are non-smoking. Please book early by calling 650-926-2800, or use their online-reservation form. The group block code for students is: PULSE20. Any unbooked rooms in the room block will be released on May 15, 2020.

The complimentary Stanford Guest House shuttle is also available on evenings and weekends when the Marguerite is not. Please speak with the Guest House front desk to request use of the Guest House shuttle

Off-Campus Hotels and Transportation

The Marguerite is Stanford University's complimentary public shuttle system which traverses the campus Monday through Friday all year (except University holidays). The SLAC Line operates between SLAC (with a stop at the entrance to the Guest House) and Stanford University, and is available from 7:30 a.m. to 8:00 p.m., approximately every 30 minutes.

Note: The Stanford Marguerite Shuttle has limited routes and does not provide service to many of the off-campus hotels.

Visa Information

Visa Waiver Program (VWP)

On a reciprocal basis, citizens of countries participating in the VWP may enter the US for short-term business or tourist visits without having to obtain a B-1/B-2 visa stamp at a US Embassy or Consulate. Updated information and more information regarding the program (e.g. which countries and airlines participate in the VWP, requirements on machine readable passport and proof of short stay and support) can be found on the US Customs and Border Protection (CBP) website. International visitors to the US from VWP countries are required to apply for travel authorization prior to travel to the US via the Electronic System for Travel Authorization (ESTA). Please be sure to check your passport to make sure it is electronically readable and compatible with this online system. The ESTA processing fee is $14.00. Visitors to SLAC are required to be admitted in WB (Waiver for Business) status during the entry procedure at a US port of entry. After your registration, we will provide you with an official invitation letter which you should present to the CBP officer upon entry to the US.

Business Visitor B-1 Visa

If your country does NOT participate in the VWP, you must obtain a B-1 (business) entry visa stamp before entering the United States. Information on the B-1 visa can be found on the US Department of State website. Please note that obtaining a B-1 visa can take a long time, so begin the visa application process as soon as possible. After your registration, we will provide you with an official invitation letter which you may use to apply for the visa stamp and also present to the CBP officer upon entry to the US.

Refund Policy

Cancellation and refund requests must be made in writing and sent via email to UXSS.PULSE@gmail.com. There will be no refunds processed after May 31, 2020. Please note there is a $35 processing fee for refund requests.

Partial Travel Support

We will be able to provide partial travel support in the amount of $500 (domestic) or $1000 (foreign) for a limited number of summerschool attendants. Applicants for this travel support must prepare a one page document (PDF) detailing how their career development and research would benefit from their participation in UXSS2020. The document can be uploaded during the registration process.
