1. File new reports in first floor folders. Folders should have most recent 5 years available. ex. 1993-1997, or 1994-1998. Pull earlier annual reports, such as 1992 and before, and other documents, such as 10-k’s and anything labelled miscellaneous. Reports in folders stamped PERMANENT RETENTION and reports stamped PERMANENT RETENTION are put on the PERMANENT RETENTION shelf. Reports in the folders stamped PERMANENT RETENTION should be stamped with the PERMANENT RETENTION stamp.
2. All reports are checked in Laser Disclosure to see if they exist in electronic form. The year on the corporate report should be matched against the document date for publication type ARS. Reports not found in Laser Disclosure are placed on the, Not in Laser Disclosure shelf. Reports found in Laser Disclosure are to placed on the, Discard shelf.
3. The holdings in the CARL bibliographic record need to be checked to see if they need to be edited.
4. After that, the report should receive a second check mark and be shelved on the second floor.
5. Discarded reports have the library label x’d out by using the appropriate stamp. Discarded reports need to be counted and have the number recorded in the statistics. It is also necessary to check inside the back cover to see if there is a barcode. If a barcode is present, the report should be placed on the discard shelf for reports with barcodes.
6. After the item records have been deleted, the reports are placed in the box which will be sent to Prof. Foster.
7. When the box is full and covered, the label for shipping the box to Prof. Foster is placed on it. The box is then brought over to the Mail Assistant’s work area.
