3. Logistics - the Gnarly Details
So, now that you've got the concept for your club settled down, and a place to host the club, what else do you need to worry about? Here are the nitty gritty details that you should consider:
- Permission slips: Many elementary schools require that their students turn in permission slips to stay on campus for after-school activities, since liability regarding younger children is a serious issue. Check with your host school for details about permission slips, but most standard permission slips for after-school clubs state information about the time and location of club meetings and have space for the parent's permission and signature. Sample permission slips are available on the Resource Share page.
- Contact information: It is generally very useful and prudent to collect every club member's home phone number and email address, and you can ask for this information on the permission slip or at the first meeting. The email addresses can be used to set up a mailing list to notify parents about canceled meetings during school holidays or parent-teacher conference weeks, or to relay information about special activities and events. Especially with elementary school children, you may also find yourself needing to contact a parent about social or behavorial concerns, or to find out why a student hasn't been coming to meetings.
- Liability forms: Some school districts require you to sign liability forms for use of public school space during after-school hours. Ask your host school or school district for more information regarding this.
